Introducing CourseKey Attendance 2.0

CourseKey Attendance originally let you choose whether your classes and programs were going to track time (clock hour) or points (credit hour), choose your attendance technology, and schedule future sessions. Over time, we added flexibility to let instructors manually check students in and built live attendance dashboards for administrators. But, as more schools implemented CourseKey across their campuses, their needs grew. Pretty soon we had frequent requests for reason codes and clarity into why adjustments were being made.

This was a turning point for us. We’re on a mission to build paper-free learning environments that allow organizations to collect, measure, and understand real-time learning at scale. The requests we were receiving from our partner schools led to us realizing how much more clarity schools could gain into their collected attendance data if we revamped our attendance solution. We’ve worked tirelessly to build a better, easier to use, transparent attendance solution. Meet CourseKey Attendance 2.0.

SIMPLIFIED STATUS CHANGES

Remember how you used to have to open the attendance list, navigate to the appropriate status tab, click the three green dots next to a student’s name, and choose the correct status from a drop down list to be able to change their status in class?

Well, you can forget that. Now, once you’re in the attendance list, you’ll see a list of all students on the roster and a series of buttons. If you need to make a quick adjustment for a student during class, just click the appropriate button to update their status.

OVERVIEW OF STUDENT TIME

For programs and classes on a clock hour system, you can now view how much time each student spent in class, down to the second, without having to go into a details view.

Note: Any time that was adjusted manually by an instructor or administrator will be marked with a blue dot to the right of the time.

NEW TRANSACTIONAL DETAILS VIEW

To view a student’s attendance details for the day, simply click on their name or the green pencil icon next to their Time Collected.

Think of this view like checking your bank statement online. Your bank shows you a list of all of your transactions posted as debits and credits to your account. In CourseKey Attendance 2.0, we’re showing you a list of all check ins and check outs the student had, when they were made, who initiated it, and how much time was collected.

If there was a manual adjustment made, you’ll also see the reason code and notes for why it was made.

CREATE ADJUSTMENTS

If you need to create a quick adjustment to a student’s time inside the detailed transaction view, just click the green “Create Adjustment” button at the bottom right.

In the section that opens up, choose a reason code from the dropdown list and add a note if choosing “Other.” As a heads up, what you fill in here will be visible to students and staff, so choose wisely!

SET TIME TO ZERO

“Set time to zero” lets you remove all of a student’s time for the day. For instance, you might need to use this if an instructor identified that the student wasn’t there, or if the student violated an attendance policy and needs to have time deducted.

You’ll see a preview of how this change will affect the student’s time. Make sure you’re happy with it before hitting save! Adjustments can’t be removed once they’re saved. Reversing an edit requires you to create a new adjustment.

MAKE CUSTOM CHANGE

Choosing to set a custom time lets you make minutes-based adjustments. For example, if a student’s phone died and they were unable to check back in to class after the lunch break, you can manually give them however much time they were unable to clock.

You’ll see a preview of how this change will affect the student’s time. Make sure you’re happy with it before hitting save! Adjustments can’t be removed once they’re saved. Reversing an edit requires you to create a new adjustment.
